• How do I schedule or arrange for my exam?

  You must contact the Online Learning Support Staff before your course ends to schedule any exam.

  • Midterm exams must be taken before your course end date. 
  • Starting Winter Quarter 2012, students will be required to take their final exam on or before their course end date. (students who enrolled in their course prior to 01/01/2012 must take their final exam no later than two (2) weeks after their course end date. As we have transitioned to emailing exams to proctors, the logistical delays in mailing exams have been eliminated, and the grace period for completion is no longer necessary.)
  • Exams cannot be rescheduled once your course end date has passed. 

  If you live in the Seattle area, call the Online Learning Support Staff at least three to four days before you wish to take your exam. We will schedule your exam at one of our testing sites. If you take the exam at one of our testing sites, you will not need to locate your own proctor. Note: All prior assignments must be submitted before you can schedule an exam. 

  We offer testing at the following places and times. Note: Times may be subject to change.

  A $20 testing fee by cash or check ONLY is charged by Schmitz Hall. 

  If you are unable to come to one our testing centers to take your exam, you need to locate a proctor, have your proctor approved and then contact the Online Learning Support Staff to have your exam mailed to your proctor (see below).

• When do I need a proctor, and how do I go about locating one?

  If you cannot take your exam at one of our testing centers (see above), you will need to locate a proctor, have the proctor approved by UWEO, and request that the exam be sent to the proctor.

  The best place to begin your search for a proctor is at a local university, which may have a dedicated testing center.

  Your proctor must be one of the following:

  • University Testing Center
  • Faculty member or administrator at an accredited college or university
  • Head librarian
  • Learning Center (e.g. Huntington, Kumon, Sylvan)
  • High School superintendent, principal, counselor, administrator or faculty member who is not your coworker
  • Corporate education director
  • Commissioned officer whose rank is higher than your own or the education officer of the base (for military only)
  • U.S. embassy or consular office
  • The online learning department of any member institution of the National University Continuing Education Association. A list of these departments is available from Peterson’s Guide, PO Box 2123, Princeton, NJ 08543-2123; 800.EDU.DATA (weekdays only)

  Under no circumstances can co-worker, relative or friend serve as a proctor.

• What are a proctor’s responsibilities?
  • Security of the examination until it is made available to the student at the beginning of the examination session
  • Provision of a quiet, well-lighted area free from noise and distraction and within supervisory distance of the proctor; Proctoring at a home address is not permitted 
  • Request to see photo identification before beginning the exam. Complete the Supervisor’s Certification form that will be enclosed with the exam. It will verify the student’s identity by a piece of photo identification with the student's signature.
  • Verification of time limits and use of approved instructional materials (if stipulated) permitted during the examination process. A student may not use a PC during the exam, unless approved as a disability accommodation.
  • Scanning or faxing all papers, including scratch paper, examination questions, completed exam, evaluation, and the completed Supervisor’s Certification form for their delivery to Program Central Support (if the proctor does not have access to a scanner or fax machine, Program Central Support will provide the proctor with a business reply envelop upon request).
  • Upon confirmation that the scanned or faxed exam has been received by Program Central Support, shred the original exam materials.
  • If there is improper conduct on the part of the student or any evidence that the examination process has been violated, termination of the examination, confiscation of exam materials, and immediate notification of UW Program Central Support at 206.543.2350 or 800.543.2320 is required.
  • Personally shred all exam materials to Program Central Support within 30 days of receipt, even if the student has not taken the exam.
  • Upon agreement to supervise a student during a requested review of the completed exam, oversee that no copy of the test or notes that contain the exact wording of the test questions or answers are taken by the student during the review, and promptly return the exam within 30 days of receipt of the completed exam.
• How do I get a proctor approved?

  Your proctor is required fill out the Proctor Agreement/Verification Form (the form is a PDF file; downloading it requires Adobe Reader). This form should be returned to the Online Learning Support Staff with a business card or official letterhead from the proctor. This information is used to verify the proctor's address and position. Within two working days of submitting the form, you will be informed by email as to whether the proctor has been approved. Please be sure to include your email address when submitting the form so that the notification will not be delayed.

  Proctors usually supervise exams without charge. However, if a fee is charged, you are responsible for the payment.

• How do I arrange to have my exam sent to a proctor?

  Once your proctor has been approved (see above), contact the Online Learning Support Staff and request that the exam be sent to your proctor. Make sure you know the proctor's first and last name when you contact us. If you make the request before 10:30 a.m. Pacific Time, we will email the exam that day. If you make the request after 10:30 a.m., we will email the exam the afternoon of the next business day. If a proctor does not have access to email, or the exam contains a component that cannot be emailed, the exam will be sent via first class mail and arrive within three to five days and a business reply envelop will be provide for the proctor to use to return the exam.

• What do I need to bring to the exam?

  You’ll need to bring a picture ID and money for the testing fee (if applicable). Check your course syllabus to see if the exam is open book or open note, allows use of a calculator and so on. For exam security, any notes taken into an open-note exam will be collected by your proctor at the end of the exam. Therefore, if your exam is open note, please make a copy of your notes for your own records before you take the exam.
  

• What happens if I don’t appear for my testing date?

  You will need to reschedule your exam (see below).

• Can I reschedule my exam?
  Yes, as long as your course has not expired. To reschedule, contact the Online Learning Support Staff as soon as possible. If you are scheduled to take an exam at one of our testing centers, early cancellation enables us to give your spot to another student.
• Can I use a computer to take my exam?
  No. We do not allow students to use a computer during the exam unless it has been approved as a disability accommodation.
• How can I view the results of my exam?

  After your instructor has graded the exam, you will receive notice of your grade along with comments from the instructor. The exam cannot be returned directly to you, but it will be held for two months at the Online Learning Office, where you may review it.

  If you live outside the Seattle area, you may request that your exam be sent to your proctor. You may review it under his or her supervision within 30 days after the proctor receives the exam. You may not copy any portion of the exam. The proctor will return the exam to Online Learning after the 30-day review period has lapsed.
